Cancellation, Deposit & Payment

A 25% booking deposit is required to hold items, refundable until 30 days prior to the rental date. A non-refundable 50% deposit is required with all tent orders. The balance is payable before rentals will be released.

Refunds are not issued on rental items returned unused.

We pack orders 2 days ahead; final changes are due by noon two full business days prior to the release date.

An open Visa or MasterCard is required on all non-account rental orders for security in the case of loss, damage and additional charges. This card will be destroyed upon completion of your rental order.

A service fee of $25 will be charged to your credit card for any returned cheques. Personal cheques are not accepted.

Equipment Responsibility 

All rented items are the responsibility of the renter from time of receipt until returned to our warehouse.

Returned equipment will be counted at our facilities. Any missing or damaged items are subject to a replacement charge to your credit card. This includes any boxes, crates, hangers and packaging.

Additional fees may apply for items returned late, including packaging.

Please ensure that all dishes, cutlery, glassware, etc., are scraped and rinsed of food (not washed). Shake linens of debris, place into the respective bins or bags, ensure they are completely dry to avoid mildew. Candelabras must be free of wax. Packed all items in proper boxes and safely stacked in one area. Additional charges will apply for failure to comply.

If you have added décor to rental items, please remove before returning them. Great Events Rentals is not responsible for removing flowers, fabric, ribbon, etc. Service fee will apply for failure to comply.

Great Events Rentals is not responsible for any items returned to our facility that are not our property.  Should you accidentally return items that do not belong to us, we will store them for a maximum of 30 days before disposing of them without warning.

Customer Pickups/Returns

Customers are welcome to handle the transportation of most rental items themselves (excludes tents, harvest tables and some furniture, which must be delivered and handled by Great Events Rentals).

Great Events Rentals staff will assist in loading and unloading of vehicles as a courtesy service only.  Orders should be checked/counted with a Great Events Rentals staff member.  It is the customer’s (or representative’s) responsibility to ensure that all items are loaded in the vehicle safely to avoid injury or harm to the passengers of the vehicle and to avoid damage to rental products. Great Events Rentals staff will refuse to load products into vehicles if we feel the load can cause injury or damage.

Please note that insurance and liability on certain items will be void if delivery and set up is not handled by Great Events Rentals, such as stages and pipe & drape. The customer will assume any and all responsibility while these items are in their possession.

Delivery/Pick-ups

Basic delivery & pickup is available within Calgary city limits for a fee. This base rate includes transportation of your order (regardless of size) to be dropped off at the ground level or loading dock within Calgary city limits.

Set up of items is NOT INCLUDED except for dance floors, stages and we-install pipe & drape when delivery is purchased. Tent prices include delivery and set up of the tent (as well as the delivery, but not the set up, of any other items on the order).

Additional fees will apply when you require a time-frame shorter than 4 hours or on-time arrival, transportation outside of Calgary city limits, delivery to or from an upper or lower level, or service before 8 am, after 5pm and on Sundays or holidays. Please inquire.

Any additional movement of equipment is subject to availability and additional charges. This policy applies to all rental items including tents. These specifications must be made upon confirmation of your order.

Tables and chairs should be folded and stacked for pickup. Chiavari & Crossback chairs must be stacked with cushions off and protective covers on.

If you would like us to handle the setup/teardown of your chairs and tables please inquire for availability and rates.

Please contact us within one hour of delivery if any items are missing or damaged items so that we can correct it.
